Published guides put software at $50 to $500 a month and first-year cost at $1,500 to $15,000. Three cost layers, and what each published range does and does not record.

The price most New York business owners see for AI marketing automation is a monthly software fee, and it names the smallest of three cost layers that published guides describe. Those guides put software at $50 to $500 per month for small businesses, and put total first-year cost, including setup, integrations, data cleanup and training, at $1,500 to $15,000. A third layer, the time an owner or employee spends reviewing the system each month, appears in almost no price list. None of the guides read for this report publishes New York pricing, and all of them are written by software vendors, agencies or consultancies rather than by a statistical agency.

  • Entry prices start lower and rise with list size: Mailchimp's Essentials plan is listed at $13 per month and ActiveCampaign's Starter tier at $15, while the same ActiveCampaign feature tier is listed at $15 per month for 1,000 contacts and $229 per month for 25,000.
  • Fluxrivet puts platform costs for lists under 10,000 contacts at $150 to $400 per month and a first-year budget including setup at $3,000 to $8,000. Zylo Lab's first-year range is wider, and the two are not reconciled.
  • Creatricx lists HubSpot Marketing Hub Professional at $800 per month with a required one-time onboarding fee of $3,000.
  • Payback in the guides is stated through worked examples and ranges: about 1.4 months in one, three to six months as a general range in another. The estimates rest on assumed hourly rates, not on measured client results.
  • The $5.44 returned per $1 spent on marketing automation is attributed to Nucleus Research case studies, and the $36 per $1 email figure to Litmus. Both are benchmarks, not forecasts.

What does the software layer cost?

Published guides put software at $50 to $500 per month for small businesses with under 5,000 contacts, and at $150 to $400 per month for lists under 10,000 contacts. Zylo Lab adds that most small businesses get full value from mid-tier platforms priced between $50 and $300 per month.

Entry prices are lower than either range. Fluxrivet lists Mailchimp's Essentials plan at $13 per month and ActiveCampaign's Starter tier at $15, and states the full span of prices it found as $13 to $1,500 per month. The jump between the two comes from how platforms charge. Zylo Lab's example is one ActiveCampaign feature tier that costs $15 per month for 1,000 contacts and $229 per month for 25,000 contacts.

A published price is a price for a stated contact count and feature tier. It does not record what a given New York business would pay, because neither guide reports prices by location.

Is the monthly price the same as the first-year cost?

No. Zylo Lab reports $1,500 to $15,000 for total first-year ownership, and Fluxrivet reports $3,000 to $8,000 for a realistic first-year budget including setup. The ranges overlap but are not the same, and neither guide explains the difference.

The gap between the monthly price and the first-year cost is where the larger platforms sit. Creatricx lists HubSpot Marketing Hub Professional at $800 per month with required one-time onboarding of $3,000, so the first-year figure for that plan is already well above twelve times a typical entry price before any review time is counted.

Zylo Lab separately reports that a small business running two to three active automation workflows spends $300 to $900 per month operationally once everything is live.

What do agency-built setups cost?

BuilderCog reports agency-built automation at $2,500 to $15,000 in setup plus $500 to $5,000 per month, and describes a full stack covering sales, marketing, operations and reporting as $4,000 to $10,000 for the initial build with $500 to $2,000 per month ongoing. Hyper, a vendor of an AI marketing product, reports tools and platforms at $0 to $500 per month and agency retainers at $1,000 to $5,000 or more per month.

Both sources sell something in this market, and the second one sells a lower-priced alternative to the retainer it compares itself against. That does not make the figures wrong, but it is part of the record the figures come from.

How do the guides tier cost by business size?

One guide, from AI Crescent, tiers monthly cost by employee count: $100 to $300 for 1 to 5 employees, $300 to $800 for 5 to 20, and $800 to $2,500 for 20 to 50. It is the only source read here that publishes a size-based table, so it is shown on its own and not blended with the others.

What payback do the guides report?

The guides report payback in two forms: a general range and worked examples. BuilderCog gives three to six months as the range for well-implemented projects. The worked examples depend entirely on the hourly rate they assume.

Creatricx's example prices four hours of weekly work at a loaded staff cost of $30 per hour, about $520 per month, against a $50 monthly automation, $600 in setup and about $30 per month of review time. Removing all four hours leaves roughly $440 per month, and the setup pays back in about 1.4 months. The arithmetic holds: $520 less $50 less $30 is $440, and $600 divided by $440 is about 1.4.

BuilderCog's example assumes $1,500 in setup, $300 per month in tools and 20 hours saved at $40 per hour, or $800 per month, and states payback in under two months. That holds only if the $300 monthly tool cost is left out of the calculation: $1,500 divided by $800 is about 1.9 months, while netting the tools gives $500 per month and three months. The guide's own general range of three to six months is consistent with the second reading.

Thryv's 2026 small business survey, as reported by BuilderCog, finds that 58% of small businesses using AI save more than 20 hours per month and 66% save between $500 and $2,000 monthly. Those are self-reported figures from businesses already using AI, so they describe adopters, not a typical business.

What returns per dollar do the guides cite?

Two benchmarks recur: $5.44 in benefits per $1 spent on marketing automation, attributed to Nucleus Research case studies, and $36 per $1 for email marketing, attributed to Litmus. Creatricx notes that Litmus's own 2025 data shows a wide distribution of returns around that average.

Neither figure is a forecast for a particular business. The first is a pooled result across case studies, and the second is an average across a wide spread. They also measure different things, since one covers a platform category and the other a single channel, so they are not added or compared here.

Methodology and limitations

This report reads eight published guides and one survey cited secondhand, and it measures published price ranges, not what any business paid.

Every source is a vendor, agency or consultancy publication. None is a government statistic or a peer-reviewed study, and none reports New York prices, so the ranges are national or unspecified. Several give ranges without stating the sample behind them. Platform prices change often, and the figures here are as published in 2026.

The Thryv survey results are cited through BuilderCog and were not read at the original. The Nucleus Research and Litmus benchmarks are cited through Zylo Lab and Creatricx and were not read at the original either. The worked payback examples use assumed hourly rates and are illustrations, not observed outcomes. The payback range in this report is not a recommendation to adopt or avoid any product.

Conclusion

So what does AI marketing automation cost a New York small business? The published record answers with three numbers that sit on different lines: $50 to $500 a month for software, $1,500 to $15,000 in the first year, and an unpriced block of review time that one example puts at about $30 a month. The software line is the one that carries the headline, and it is the smallest of the three in most of the examples. The payback estimates depend on an hourly rate the author chose, and one of them only works if a monthly cost is left out. If the only price a business owner has seen is the monthly one, which part of the bill has not yet been counted?
